Account Number

1. Account Number
Enter the Account Number to bring up the specific account or enter a unique number to identify this record if adding the account.  The account number is typically the appraisal district account number, however in some counties the account number is very large, in this case the system automatically assigns this number and the appraisal district number is used as the Pidn number.
 
Access to an account by Account number requires an exact match; there are no possible candidates you must know the exact account number to access the account with this method.  Once the account number is entered press enter and the account if found is displayed otherwise the system displays an error the record was not found.
 
To skip locating a record by account number leave the field blank and press enter to enter a Pidn or click the mouse in the field to be searched on.

PIDN

2. PIDN
Enter the PIDN (Property Identification Number) to bring up the specific account or enter a unique number to identify this record if adding the account.  The PIDN is typically the appraisal district geographic number.  In counties where the appraisal district number is complex and very large the appraisal district number is the Pidn (Usually the complexity is do to it being a geographic number), in this case the system automatically assigns the account number.
 
PIDN number access does not require an exact match; a possible candidates list is provided based on the information which was entered into this field.  Once the PIDN is entered press enter and either the account that directly matches the number will display, a list of accounts that met the criteria list will display on the Possible Candidates popup or the system the system displays an error that no records were found matching the criteria.
 
To skip locating a record by PIDN leave the field blank and press enter to enter a Name or click the mouse in the field to Owner Name field.

Account Status

The Account Status field stores information on the status of the account.  The Account Status is made of 6 single character codes and 40 characters of free form description information.  So if you entered "DQS" in the account status, that would mean that the account has a deferral, a quarterly and a suit has been filed.  DO NOT use multiple characters to represent a status code.  The following single character descriptions are reserved by the system each office has the flexibility to add other status codes.
 
Reserved Account Status codes:
    B = Bankruptcy
    D = Deferral
    I = Intervention
    J = Judgment
    L = Litigation
    Q = Quarterly Payment
    R = Disaster Relief
    S = Suit
    T = Mobile Home
    W = Warrant
    ! = Law Enforcement record not for public information.
 
NOTE:  The following are special characters and should not be used:
    * = (asterisk or star)
    % = (percent sign)
    ' = (apostrophe or single quote)
 
The Account Status information displays on all screens when this record is brought up and print on statements, rolls and account status report.

Record Navigation Buttons

4. Record Navigation Buttons
The Record Navigation Buttons steps through the records select based of the criteria entered.  Use the "<" or ">" to move through the possible candidates 1 at a time.  Use the "|<" move directly to the first record in the possible candidates or " >|" to move to the last record.  The <<10 or >>10 moves 10 records at a time through the possible candidates selection.  This tool is very useful when trying to locate a specific account based off information that is not included in the Possible Candidates popup.
 
The Record indicator below indicate which account you are currently on an how many accounts are in the selection.

Return Mail

5. Return Mail
The Return Mail Status maintains the status of any returned mail from the current owner address.  Valid status must be selected from the drop down list, status' can be added under menu Miscellaneous Files, Exemption, Values and Mail Codes.  The return mail date automatically changes to the system date or can be over written.
 
To setup a new return mail status use the Exemption, Value and Return Mail off the Miscellaneous Files Main Menu selection.
