3307/3311/Delinquent Statements
If you collect early attorney fees for personal property starting in April, then the 3311 notice will print instead of the 3307 notice on the delinquent statement for personal property. All other statements will have the 3307 notice. Put a check mark in the "Print 3307 Notice:" to print the 3307 or 3311 notice on the statement.
Questions to be answered when printing 3307/3311 statements:
Am I printing statements for all accounts for the current year that have a balance due? Or do I just want to print the personal property accounts and then all the other accounts?
NOTE: To print only the personal property accounts, select "Personal Property" in the "Property Type:" drop down box. If you want to skip the personal properties, then run statements by selecting "Real Property" in the "Property Type:" drop down box, and then run statements by selecting "Mobile Homes" in the "Property Type:" drop down box, and then run statements by selecting "Minerals" in the "Property Type:" drop down box,
Do I want to print delinquent statements for all years (including current year) for all accounts or do I just want to print out the current year?
If you want to print out statements for the current year only, then select the current year in the "Selected Year:" drop down list and uncheck the "Print All Del. If Sel. Year & Entity:" check box.
If you want to print out statements for the all years, then select the "0000" in the "Selected Year:" drop down list and select " " in the "Selected Entity:" drop down list and it doesn't matter if the "Print All Del. If Sel. Year & Entity:" check box is checked or not.
If you want to print out statements for the current year and include prior years delinquent on an account, then select the current year in the "Selected Year:" drop down list and put a check mark in the "Print All Del. If Sel. Year & Entity:" check box. This means that if an account does not have a current year due but does have delinquent years due, then a statement will not get printed.
Because the number of statements getting printed can be large, we suggest breaking the statement runs into parts. The number of statements or pages at one time can vary depending on hardware configurations and limitations, but we suggest no more than 10,000 statements or pages per run. Anything more than this and the computers seem to get hung up and a reboot of the server is then necessary.
EXAMPLE: You are running statements in owner name order. For the start field and end field you would enter:
START FIELD END FIELD
" " "F"
"F" "L"
"L" "S"
"S" "ZZZZZZ"
On the first run, notice how we start with blanks and on the last run we end with "ZZZZZZ" and on the subsequent runs we enter in the start field with what was in the end field on the previous run.
NOTE: This same principle also applies to the other sort orders.
When sorting by zip code the zip code must be entered using the zip+4 format without the "-" and with leading zeros to make 9 digits.
